Sales Administrative Assistant

SUMMARY

Relieves the V.P. of administrative type functions in order to increase the time available for Sr. Management level responsibilities.  This position will handle a wide variety of situations and conflicts involving the Sales Team.  Will provide general level support to all of Sales which may include: creating/developing and running reports as required, providing analysis of findings, developing/creating presentations based on information provided, and other duties as assigned.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Develop reports weekly, monthly, quarterly and yearly
  • Develop spreadsheets
  • Make complex travel arrangements
  • Support various departmental staff
  • Develop and edit presentations
  • Distribute incoming mailAnswer main phone and provide backup as needed
  • Provide bank and mail runs as needed
  • Ordering of office supplies and maintaining stock
  • Other duties as assigned

QUALIFICATIONS

  • Ability to use multi-line telephone
  • Experienced in working directly with customers
  • Superior time management skills required
  • Accounting skills preferred

 EDUCATION and/or EXPERIENCE

  • Administrative Assistant - Associate's degree (A. A.) or equivalent from two-year College or technical school; or two years related experience and/or training; or equivalent combination of education and experience.

KNOWLEDGE, SKILLS & ABILITIES – COMPETENCIES

  • Experience with the following programs:
    • Microsoft Office (Word, Excel, PowerPoint, Outlook, One Note, Publisher, FrontPage and Access)
    • Great Plains Dynamics
    • ACT
    • Corel PhotoPaint
    • Microsoft Office Share Point
    • Avery DesignPro
    • Adobe
  • CRM System knowledge preferred, including working with pivot tables
  • Ability to transfer data using txt/cvs files
  • Ability to map fields from one database to another

LANGUAGE SKILLS

  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before groups of customers or employees of organization.

MATHEMATICAL SKILLS

  • Ability to calculate figures and amounts such as discounts, interest, proportions, percentages, area, circumference, and volume.
  • Ability to apply concepts of basic algebra and geometry.

 

REASONING ABILITY

  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to deal with problems involving several concrete variables in standardized situations.

 

CERTIFICATES, LICENSES, REGISTRATIONS (as relevant)

  • Current driver's license.
